Sales visit reports: a template that serves the follow-up

Six fields, a complete example and simple checks to separate observations, agreements and next actions without slowing down data entry.

“Good visit, customer interested.” That note lets neither the sales admin team prepare an order nor the next rep pick the relationship up. A useful visit report states what was observed, what was agreed and what has to happen next.

Six fields are enough to start

The report does not need to recount the whole conversation. It has to leave a trace that someone who was not there can use. Start with a short structure, then add only the fields used in a decision or a follow-up.

The shop name must come from its record rather than free text. Otherwise “Les Tilleuls”, “Tilleul” and “Pharmacie Tilleuls” become three customers in an export. For identifiers, contacts and network membership, rely on a shared customer record.

Separate observation, statement and hypothesis

“The product isn’t moving” mixes several possible pieces of information. Did you look at the till sales? See stock on the shelf? Hear the manager’s opinion? These sources are not equivalent, but each one can be useful if it is identified.

Turning a vague note into verifiable information

Initial note: “Few sales, strong competition, come back with a promotion.” Usable note: “Six units of A visible on 6 September; quantity in the stockroom unknown. The manager believes she sold two units the previous week, with no till record. A competing brand occupies the front display unit. She agrees to compare the sizes at the next appointment.”

The second version does not claim to calculate sell-out. It says what is missing to do so. This caution stops an impression from a visit being picked up, three months later, as a certified sales figure. Calculating sell-out requires a consistent scope of stock and movements.

Do not turn an intention into an order

A contact can ask for a price, consider a launch or accept a delivery. The status must reflect the actual stage. “Interested in twelve units” does not mean “twelve units to ship”. Link the note to the quote or the confirmed order where one exists, with its identifier and the date of agreement.

In the same way, do not quietly change a negotiated term in a note. An exceptional discount must follow the approval route provided for, then be visible in the order. The report explains the context; it does not replace the commercial agreement that applies.

The report also keeps the observations and the next action, even with no order.

Make data entry possible between two visits

Pre-fill the date, the outlet and the rep. Offer a few visit reasons, a clear outcome and a next action. Leave free space for whatever does not fit the choices. A menu of fifty reasons slows entry down and pushes the team to select the first option available.

Dictation can help, provided you check the product names, the quantities and the dates. A “six” transcribed as “ten” is not a stylistic slip. In offline mode, distinguish a note saved on the device from a note synced and readable by the team. Also test what happens when it is corrected before the network comes back.

Collect what serves the professional relationship

A sales note must not become a file on the contact’s private life. The CNIL, the French data protection authority, restates the principle of data minimisation (French): limit collection to what is necessary for the purpose pursued. In a pharmacy, avoid health information about patients or staff in particular.

For a shelf photo, define the use, the access and the retention period; frame the products without recognisable customers or visible prescriptions. An image is not essential at every visit. A reference and a quantity, correctly noted, can be enough, with far less data to manage.

Judge quality by the actions completed

  • After the visit: can someone else understand the decision without calling the rep?
  • Before the due date: does the task have an owner and the information it needs?
  • At the next appointment: was the previous agreement kept, changed or dropped?
  • In the team review: which fields stay systematically empty, and are they actually used?

The right indicator is not the number of characters entered. It is the ability to honour commitments and pick up a relationship without starting from scratch. In an SFA pilot, rehearse this handover between the field and the sales admin team before rolling the form out.
