A useful follow-up after a store visit often needs just a few lines: what you discussed, what you promised and one clear next step. AI can draft it. Its value disappears if the rep has to remove invented compliments, unapproved discounts or urgency that does not exist.
This guide is for brand representatives visiting shops and pharmacies. The messages and results are fictional. Adapt them to the actual meeting, agreed channel and company rules, then review every draft before sending.
Gather the facts that justify the message

An approved visit record is a better basis than a summary reconstructed from memory. If a critical fact is missing—the applicable price, recipient or commitment—clarify it before asking for a send-ready message. AI can flag the gap; it cannot decide the commercial terms.
Write a message that reflects the meeting
In this example, a shop manager requested a price list while considering a reorder. The rep has the right attachment ready and has checked that the discount remains unapproved:
The specific details come from the conversation. There is no need to add “your wonderful shop” or “an exceptional opportunity”. A real signature should identify the sender and provide contact details. Where required, the message must also offer a simple way to stop further marketing contact.
Check commitments, then tone

- →Attachment: check that it is attached, current and applicable to this customer.
- →Status: correct any “confirmed” order or discount that the record does not support.
- →Request: keep one understandable action instead of a catalogue of links.
- →Voice: remove expressions you would not use with this person on the phone.
Useful personalisation concerns the assortment discussed, available shelf space or staff training. It does not require guessing the owner’s personality from social media. In pharmacies, do not use patient data to personalise a sales message.
Set the timing around the visit
No follow-up count suits every account. For example, send the document on the promised date, then contact the customer when agreed. If no date was set, a reminder a few days later can ask one useful question. Before trying again, review the reply, context and reason to continue.
A reply, an order or a request to stop contact should interrupt the planned sequence so it can be handled appropriately. An assistant preparing drafts must not keep chasing a question the rep has already resolved by phone. The channel matters too: having an email address does not mean the customer agreed to move the conversation to WhatsApp.

People must be informed and able to object simply and without charge; messages must identify the advertiser and provide a way to refuse further contact. These French rules are not a universal rule for every country, private individual or communication channel.

Measure useful replies and correction time
Define a useful reply before the trial: agreement to an appointment, clarification of a need, or explicit acceptance or rejection of a proposal. An automated receipt is not a commercial decision. Measure drafting and review time, corrected errors, useful replies and opt-outs.
Fictional example: of two groups of 20 comparable outlets, the first receives the usual message and produces six useful replies, or 30%. The second receives an AI-assisted, reviewed message and produces eight, or 40%. The observed difference is ten percentage points. With so few accounts, this does not establish that AI improves results.
For a stronger comparison, randomly allocate eligible accounts where possible, use the same definition of a reply and observe both groups over the same period. Compare similar sales stages and contact schedules. Repeat with more cases, then check whether the gain survives review time. A faster message that creates misunderstandings can be costly to repair.
Bring the reply back into the sales record
After sending, save the actual message and date. After a reply, update the action, owner and deadline. Treat a refusal as useful information: “no shelf space until January” is different from silence. The next visit brief needs to reflect that current position.
